About the role
The Executive Assistant provides administrative and communications support to the Mayor and various committees of Council.
- Provides executive support to the Mayor and various committees of Council.
- Coordinates and sets up meetings for the Mayor, Directors, and Strategic Management Team.
- Manages the Mayor’s email account and telephone inquiries by reviewing and responding accordingly on the Mayor’s behalf.
- Manages the Mayor’s calendar, meetings, and travel arrangements.
- Acts as recording secretary for Committees of council including the preparation of meeting agendas, records and types minutes, prepares recommendations and correspondence.
- With support and direction from Communications staff:
- Prepares speaking notes, proclamations, press releases, social media content and other communications materials for the Municipality.
- Supports the mayor in implementing the calendar of proclamations
- Coordinates flag raising events
- Prepares and develops correspondence on behalf of the Mayor.
- Maintains municipal website elements for Administration Department.
- Assists with municipal elections and coordinates and prepares the Council orientation binders.
- Provides backup support to the Executive Assistant to CAO and Clerk on FOIPOP administration.

Is this you?
You are an organized professional who enjoys working in a fast-paced environment with many shifting demands. You have exceptional communication skills and are proficient in the Microsoft Office and Windows environments. You are comfortable with social media management and can craft content in multiple formats (including audio/visual). You have impeccable tact, discretion, and judgement and are comfortable working in a sensitive/confidential capacity.
Essential qualifications and skills include:
- Diploma in Administration/Business Administration, and
- A minimum of 3 years of related experience; OR
- An equivalent combination of education and experience.
- Strong organizational skills
- Strong communication skills, both written and verbal
- Ability to multi-task and meet multiple deadlines
- Highly proficient with Microsoft Office software
- Minute Taking ability is considered an asset
- Social media management; content creation, and/or A/V skills considered an asset
- Strong keyboarding skills
- Experience working with elected officials, senior executives, and public stakeholders
- Ability to recognize maintain high levels of confidentiality
Working Conditions
- Office environment
- Required to work with Council and a range of stakeholders with complex priorities and perspectives
- Evening meetings as necessary
- Permanent full-time position, based on 35 hours per week.
- MODL offers a condensed work week.
- Salary range: $63,257 – $79,072 (Band 60)
